Something I am asked a lot by prospective clients is “How do I share log in details and passwords with my Virtual Assistant?”. I don’t work the same as every VA out there, but I know a lot of VAs use, and I personally recommend LastPass to my clients.
What is LastPass?
LastPass is a secure digital wallet for storing and managing your passwords. It has an auto form filler and a random password generator. There is a free and premium version, depending on the level you require.
LastPass allows you to store digital records. Once you have saved a password into your account, you can log in directly via LastPass, making it quicker and easier to access your accounts.
It can also save your card details, making it quicker with the autofill function to add in your payment and shipping details for you.
The biggest thing that works for me and my clients is the ability to securely share log in details and passwords. And if you want to allow someone access to your account without giving your password away, there is the option to share access without your password being visible.
How secure is LastPass?
Security is something that needs to be considered when storing and sharing information. LastPass have implemented AES-256 bit encryption with PBKDF2 SHA-256 to ensure complete security in the cloud. By creating an account, you will generate a local-only encryption key. This means that the data stored in your LastPass vault is secure and private, even from LastPass.
There is also the option to add a two-factor authentication with a second login step to increase the security of your LastPass vault.
How do you save sites into your LastPass vault?
There are a couple of ways to do this. My personal preference is via the Chrome extension. When I first load Chrome, I log into my LastPass account and it sits there in the background. Whenever I create an account or log into one for the first time with LastPass running in the background, it will pick up the information needed (website address, username and password) and ask me if I want to add to my LastPass vault. By simply clicking Add, all the details will be saved into my vault.
The other method is to add the information manually via their Add Site function. You will need to populate the relevant fields but the data will then be saved for you to use again in the future.
How do you load or launch the sites?
If you are logged into your vault, simply click the site name. If you are using the Chrome extension, you can click the LastPass tab in your browser and either launch your vault or type the name of the site you want to load into the search bar.
Another option is to go directly to the website you want to use, and use the autofill function to populate the information for you. If you have multiple accounts for one site, you can simply click the drop down box that appears to select which account you want to log into.
How do I share information?
To share log in details, go to your vault and look for Actions. For sites you have added you will have the ability to edit, share and delete. By clicking the share button (shown below), you will be asked for the email address of who you want to share with and whether you want them to be able to see the password.
You can also view and manage what you have shared under the Shares tab. It will show you, by user, how many sites you have shared, how many have been accepted and when, but you also have the ability to unshare if the access is no longer required.
